("SchoolCare", "we", "our", or "us") collects, uses, stores, discloses, transfers, and protects information when you use the SchoolCare School ERP web platform (https://schoolcare.in) and the SchoolCare mobile application available on Google Play (com.dotplus.schoolcare_app) (collectively, the "Service" or "App").
By installing, accessing, or using the Service, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Service.

1. Who We Are
SchoolCare is a School ERP and School Management Software product developed and operated by Dotplus Technologies Pvt. Ltd., a company registered in India. The Service is used by schools to manage admissions, attendance, fees, examinations, payroll, transport, and parent-teacher communication. The School that uses SchoolCare is the data controller of information about its students, parents, and staff. SchoolCare acts as a data processor on behalf of the School.
2. Information We Collect
2.1 Information You Provide Directly
- Account information: Name, email address, phone number, school ID, role (parent, student, teacher, admin), password.
- Profile information: Profile photo, date of birth, gender, class/section, parent or guardian details, emergency contacts.
- Academic information: Admission details, attendance, marks, homework, assignments, exam results, certificates uploaded by the School.
- Financial information: Fee structures and invoices generated by the School and payment transaction status. Card numbers, UPI IDs, or net banking credentials are processed directly by our PCI-DSS compliant payment partners; we do not store full payment credentials.
- Communication content: Messages, notices, complaints, and feedback you submit through chat, in-app messaging, or contact forms.
- User-generated content: Photos, videos, and documents you upload (for example, ID-card photos, assignment files, leave applications).
2.2 Information Collected Automatically
- Device information: Device model, operating system, OS version, unique device identifiers, mobile network information, language settings.
- App activity: Pages or screens viewed, features used, taps, in-app searches, crashes, and performance diagnostics.
- Log data: IP address, access timestamps, referrer URLs, and error logs.
- Cookies and similar technologies (web only): Session cookies for authentication, preference cookies, and analytics cookies.
2.3 Information from Third Parties
- Single Sign-On: If you sign in via Google or another SSO provider, we receive your basic profile (name, email, profile image) as authorised by you.
- Payment gateways: Transaction status, reference numbers, and limited transaction metadata.
- Biometric / RFID devices: Attendance events captured by school hardware integrated with our API.
- Government / CBSE APIs (where applicable, with the School's consent): Admission verification or compliance data.
3. Google Play Store — Data Safety Disclosure
In compliance with Google Play's Data Safety requirements, the table below summarises the categories of personal data the SchoolCare mobile app may collect, why we collect it, whether it is shared with third parties, whether it is encrypted in transit, and whether you can request deletion.

4. How We Use Your Information
- To provide and operate the SchoolCare School ERP and mobile app.
- To authenticate users and prevent unauthorised access.
- To process fee payments, generate invoices, and send payment reminders.
- To send transactional notifications (attendance alerts, exam results, fee due notices, school announcements).
- To enable parent-teacher messaging and school-wide communication.
- To improve product performance, fix bugs, and develop new features.
- To comply with legal obligations, court orders, or regulatory requirements.
- To protect the rights, property, and safety of users, schools, and the public.
We rely on the following legal bases under applicable laws (including the Digital Personal Data Protection Act, 2023 of India): performance of contract, legitimate interest, legal obligation, and where required, your consent.
5. App Permissions We May Request
The SchoolCare mobile app requests only the permissions required for specific features:
- Camera: To take and upload profile photos, scan QR codes, or capture documents.
- Photos / Media / Files: To upload assignments, photos, or documents.
- Notifications: To deliver attendance, fee, and school-event alerts.
- Location (optional): To enable school-bus tracking if the School has enabled the Transport module.
- Internet & Network State: Required to communicate with our servers.
- Foreground Service (driver app only): For live bus tracking while a route is active.
You can deny or revoke any permission at any time from your device settings. Some features may stop working as expected when a related permission is revoked.
6. How We Share Your Information
We do not sell your personal information. We share data only as follows:
- With your School: Authorised school administrators, teachers, and staff can access information about their students, parents, and personnel as part of the school's legitimate operations.
- With Service Providers: Cloud hosting (e.g., AWS / Microsoft Azure), payment gateways, SMS / WhatsApp / email providers, push-notification services (Firebase Cloud Messaging), and analytics / crash-reporting tools — all bound by strict data-processing agreements.
- With Government / Regulators: Where required by law, court order, or to comply with CBSE / state-government compliance.
- With your consent: For any other disclosure, we will ask for your explicit consent.
- In a business transfer: If we are involved in a merger, acquisition, or sale of assets, your information may be transferred subject to this Privacy Policy.
7. Third-Party Services
The SchoolCare app may integrate or interact with the following third parties:
- Google Firebase (push notifications, analytics, crash reporting)
- Google Play Services / Google Sign-In
- Payment Gateways (Razorpay, Cashfree, PayU, or similar — only when fee payment is initiated)
- SMS / WhatsApp Business API providers for notifications
- Cloud Storage for backups and media (encrypted at rest)
Each third-party service operates under its own privacy policy. We encourage you to review them.
8. Data Retention
We retain personal information only as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements:
- Active account data: Retained while the School subscription is active.
- Academic records: Retained as per the School's instructions and statutory record-keeping requirements.
- Payment records: Retained for at least 8 years to comply with Indian tax laws.
- Backups: Encrypted backups are retained for up to 90 days for disaster recovery.
- Deleted accounts: Personal data is permanently deleted or anonymised within 30 days of account deletion, except where retention is required by law.
9. Data Security
- All data in transit is encrypted using TLS 1.2 or higher (HTTPS).
- Sensitive data at rest is encrypted using AES-256.
- Role-based access control (RBAC) and the principle of least privilege.
- Secure password hashing (bcrypt / Argon2) — we never store plain-text passwords.
- Regular vulnerability scans, penetration testing, and security patching.
- Audit logs of administrative actions.
- Trained personnel with confidentiality obligations.
No method of transmission or storage is 100% secure. If we become aware of a personal-data breach affecting you, we will notify you and the relevant authority as required by law.
10. Your Rights
Subject to applicable law, you have the right to:
- Access a copy of the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your personal information (see Section 11 below).
- Withdraw consent at any time where processing is based on consent.
- Restrict or object to certain processing activities.
- Portability — receive your data in a structured, commonly used format.
- Lodge a complaint with the Data Protection Board of India or another competent authority.
Since the School is the data controller of student / parent / staff data, requests relating to that data should first be sent to your School. If the School does not respond, you can write to us at privacy@dotplus.in.
11. Account & Data Deletion (Google Play Requirement)
In accordance with Google Play's policy, you can request deletion of your account and associated personal data at any time, in any of the following ways:
- In-app: Open the SchoolCare app → Profile → Settings → Delete My Account, then confirm.
- Web: Visit https://schoolcare.in/contact and submit a deletion request from your registered email address.
- Email: Send a deletion request from your registered email to privacy@dotplus.in with the subject "Delete My SchoolCare Account".
What is deleted: Your profile, login credentials, photos and uploads, in-app messages you sent, device tokens, and personally identifiable activity logs.
What may be retained: Financial records (invoices, fee receipts) and audit logs required to be retained under Indian tax, audit, or other laws — kept for the minimum statutory period and then deleted. Academic records owned by your School are retained or deleted as instructed by the School.
We will complete your deletion request within 30 days of verifying your identity and confirm completion by email.
12. Children's Privacy
SchoolCare is built primarily for use by schools. Accounts for students under the age of 18 are created and managed by their School and parents/guardians. The Service is not designed for unsupervised use by children, and we do not knowingly collect personal information from children without verifiable parental or school consent.
We do not use children's data for behavioural advertising, profiling, or any commercial purpose unrelated to providing the educational Service. Our App complies with the Google Play Families Policy. If you believe a child's information has been collected without proper consent, contact us at privacy@dotplus.in and we will delete it promptly.
13. International Data Transfers
Personal information is primarily stored on cloud servers located in India. Where data is transferred outside India (for example, to a global service provider), we ensure appropriate safeguards such as standard contractual clauses or equivalent measures are in place.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other reasons. When we make material changes, we will:
- Update the "Last Updated" date at the top of this page.
- Notify you via in-app banner, email, or push notification for significant changes.
- Where required by law, obtain your renewed consent.
Your continued use of the Service after the changes take effect constitutes acceptance of the revised Privacy Policy.
